I ever have questions or need answers for a certain task, this is a lot easier for me to search than calling Tech Support or Navigating their Archive.

IPRO Scan Hot Key Definition Set-up

Defining Image Key Definitions
The Image Key Field Setup dialog box is used to define values for the Image Key structure. Each component may only be defined once per Image Key. For example, you cannot have two Box Descriptions. A warning box appears if you duplicate an Image Key component. The fields defined here appear later in the Image Key of each image

scanned.

Image Key Definitions should not be changed after scanning has been started because they can corrupt the batches. However, if you must change the Image Key Definitions, make sure all batches went through the entire scanning process including Batch Commit.
The changes would then apply for newly created batches.
To define image key definitions


1. Single-click in the Image Key Definition field to display the Image Key Field Setup dialog box.
The Image Key Field Setup dialog box may already contain previously defined values unless you are creating a project for the first time.

2. (Optional) Click Set Default Values to set default values for the project.
All fields populate with the exception of the Sep and Info column fields for each row. You can enter a separator in the Sep column field that you want to use to separate each field in the Image Key. The Information Only (Info) column field is used to keep the image key value succinct. The defined boundary element will not appear in
the image key itself, but can later be searched in the Viewer. Type I (INFO) in the Type column field when defining an information only field.Populate or modify the Image Key Field Setup dialog box, row by row, using the following descriptions for each column and the information displayed in the Help field when your cursor is in that column.

o Description: Type a short definition or description of the field. A typical image key structure consists of Prefix, Box, Page, and Suffix. The Prefix can have three characters that help further organize the collection. Box is used to indicate how many boxes are in the colection. Page is used to automatically increment the number of pages in the collection, and finally the Suffix is used for inserting pages that may have been missed into the original collection.

o Type: Type the appropriate designation in the Type column as described in the following list.

o A=Alphanumeric: Assigns an alphanumeric (e.g. A1) to the field. For example, you may want to assign the Type A to the field of Source.

o N=Numeric: Assigns a numeric (e.g. 1) designation to the field. For example, you may want to use Type N for a field called Box.

o P=Page: Increments the page number for each scanned document.

o S=Suffix (alpha or numeric): Assigns either an alpha or numeric (e.g. AA or A1) designation to the field. For example, you may want to use Type S for a field called NoSuffix.

o X=Numeric Suffix: Assigns a numeric (e.g. 1) designation to the field. For example, you may want to use the Type X for a field called Suffix.

o F=Folder: Assigns an alphanumeric (e.g. A1) designation to the field. For example, you may want to use Type F for a field called Folder.

o D=Document: Assigns an alphanumeric (e.g. A1) designation to the field. For example, you may want to use Type D for a field called Document. It resets the Image Key and Page counter back to 1 when it reaches a document with a
document boundary. You cannot define both a D type and a C type in any Image Key. They are mutually exclusive. A document boundary does not increment if C (Incremental Child) type is defined in the Image Key.

o C=Incremental Child: Resets the child and page back to 1 when it encounters a child boundary. You cannot define both a C type and a D type in the Image Key. They are mutually exclusive.

o I=Information Only: Keeps the Image Key value succinct; but does not appear in the Image Key itself.

o Req: Type Y to have the Key as a required element of the Image Key or type N to have the Key as an optional element of the Image Key.

o Len: Type a value, ranging from 1 to 30, to indicate the maximum number of characters the field will occupy. This means that the page key can be incremented to 9999. The Source field has a maximum length of 3 and can be incremented to 999 or three alpha and/or numeric characters based on the value in the Type field.

o Fixed: Type Y to enforce the length entered in the Len field. An N in this box will not fix the length of the Key value. For example, a fixed value of 4 will zero fill to the left of the numeric value.

o Sep: Type a separator character. For example, placing a dash in any Sep column field will separate that Key with a dash from the preceding Key. You can use a dash (-), period (.), forward slash (/), or asterisk (*).

o Info: Type data in this field if you want to define your own Key in order to keep the Image Key value succinct, but still provide an extra level of internal definition. The boundary element you define will not appear in the Image Key itself but will appear in the Information Only fields in the IPROView Premium/EZ software. The Information Only fields may be used to capture data such as author, recipient, copyee, or other information not being captured through the Prep Sheet.
When the project is scanned, the Page number will show up in the Image Key as ABC0019999. The maximum length of an image key is 70 characters. The first Image Key in a project with the following key definitions would be ABC0010001. ABC is the source value (in this case; the first source). 001 is the first box in the first source. 0001 is the first page in the first box in the first
source. The key definition for the twentieth (20th) page in the third box in the first source returns an image key of ABC0030020. If you used the separator dash between the Source, the Box, and the Page, the Image Key would look like this: ABC-003-0020.
